Booking Terms and Conditions

Please read these terms and conditions carefully, as when you book with us you are entering into a contract which binds you and us in various ways. A binding contract will come into existence when we issue a booking acceptance.

1. Booking

To make a booking please follow the 3 steps below:-

i)      Contact the Centre either by phone, email or using the contact form on the website to see if the dates you require are available.

ii)     If your required dates are available you can make your 'Provisional Booking' to reserve those dates.

iii)    To make your 'Confirmed Booking' return the completed and signed booking form along with the appropriate deposit within 14 days.

All booking forms are available by downloading them from the list below or can be sent to you by post upon request.

Please note that bookings can only be made from the 1st Monday in December for the next two years ahead.

A signed and completed booking form is required with each booking. Bookings from persons under the age of 18 yrs cannot be accepted. Once the booking form and deposit have been received you will be sent a booking acceptance by post.  

2. Payment

Method of Payment

Our preferred method of payment is by BACS, but payments by cheque should be made in favour of ‘Grenville House’.

Note: We reserve the right to pass on to you any bank charges and other costs incurred if we have to represent a cheque.

A.    Resident Bookings

A non refundable deposit of £50/night is required with each residential booking.  

Further payments are required as follows:-

25% of the total cost of the visit 24 weeks prior to arrival date.

50% of the total cost of the visit 12 weeks prior to arrival date.

The final balance will be invoiced upon completion of the visit payable on 20 day terms. Any minor changes to the agreed programme will be reflected in the final balance.

The total cost of the visit will be calculated using either 1.) the information provided on the booking form or, if applicable, 2.) the previous visit,  as agreed at the time of booking. The prices used will be those for the previous year plus 5%.

B.    Non- Resident Bookings,

A non refundable deposit of £25* is required with each non- residential booking.

Further payments are required as follows:-

25% of the total cost of the visit 24 weeks prior to arrival date.

50% of the total cost of the visit 12 weeks prior to arrival date.

The final balance must be paid by cash or cheque on arrival at the Centre on the day of the booking.

*For bookings totalling £200 or less the deposit will be 25% of the total.

3. Cancellation by the Centre

The Centre reserves the right to cancel your booking due to adverse weather forecast or prevailing weather conditions or due to other factors beyond our control. If we have to cancel your booking we will endeavour to organise an alternative date. If this is not acceptable we will offer a full refund.

4. Cancellation by the Customer

All cancellations must be made initially by telephone and followed up in writing which will be acknowledged in writing by the Centre. (Fax or e-mail is acceptable. Please note that a change of date constitutes a cancellation).

Any cancellations will incur the loss of any payments already made and may incur further charges based on the resulting financial loss to the Charity.

In the event of a cancellation the Charity will endeavour to offset any loss through alternative bookings. If successful a refund will be made minus an appropriate administrative fee or a proportionate reduction of the loss.

5. Physical Fitness/Safety

All the activities are physically demanding and may involve bending, lifting, balancing, jumping, falling, climbing, stretching and demand a degree of co-ordination. You should ensure that you & your group have an adequate level of fitness for the activities undertaken.

If there are any medical conditions relating to yourself or your group you must inform us when making your booking. We strongly recommend that if any member of your group has a medical condition or is pregnant etc that they check with their Doctor and the Centre before making a booking.

Ideally everyone taking part in water sports activities should be able to swim 50 metres in light clothing although this is not a pre-requisite.

All groups must comply with the safety regulations, operating procedures and instructions of Centre Staff.

We require medical information for All participants taking part in Centre led activities. For under 18s we also require parental consent. A copy of our consent form can be downloaded from our website for groups or individuals who do not have access to their own. The centre must keep copies of these medical forms for our records for 2 years. These must be provided by the group leader at the beginning of the stay.

Misbehaviour may result in participants being excluded from a session or from further activities. We will discuss the situation with the group leader and they may be required to remove the participant from the Centre. The Duty Manager’s decision will be final and no refund will be made.

6. Insurance

It is your responsibility to arrange appropriate insurance against cancellation, curtailment, personal accident, personal liability, loss, damage and theft. We strongly recommend this.

Grenville House has Public Liability Insurance and Employers Liability Insurance and only accepts responsibility for loss, damage or injury resulting from negligence by Grenville House

We must be notified of lost property within 2 weeks as any items found are disposed of after this period.

Please note if on-site parking is used vehicles and contents are left at the owner’s risk. Any damage to Centre property or breakages will be charged for.

7. Animals

No animals are allowed within the Centre or on site.

8. Smoking

No smoking is allowed within the Centre or on site.

9. Errors, Omissions or amendments

We endeavour to keep published prices and other information up to date but reserve the right to alter them at any time. You will be advised of any price changes or other relevant changes when your booking is processed and will be given the opportunity then to cancel or make amendments if desired, without penalty.

10. Data Protection Act 1998

The information you have supplied will be used only to process the booking and for our mailing list. If you do not want to receive further correspondence from us, please let us know by email or letter.

11. Acceptance of Booking Conditions

All bookings are accepted on condition that the customer agrees to abide by our booking conditions and confirms this acceptance on the booking form.
